The Cost of Enterprise Search
While researching Enterprise Search, I came across a white paper from ISYS Search Software that outlined some of the cost issues. It should be noted that most of these solutions are overkill for the needs of most graphic arts companies who simply want to translate all of their files into searchable PDF.
For larger companies, the main elements of implementing this type of software are not much different than other large-scale, enterprise-type applications. The applications and fees include: license fees, software maintenance, upgrades, additional modules, professional services, hardware and infrastructure and training.
The basis of the license varies and could be based on the number of documents, users, or concurrent users, or on a server-based algorithm. Software maintenance will typically cost 20%-25% per year and major upgrades may also require further training. Some vendors offer a range of add-on modules for specific tasks that may not be included in the core package, such as exporting data from the system for use in another system.
The vendor will almost certainly be involved in the initial implementation which is called “professional services.” This often includes writing or verifying the programming for automation. Depending on your existing server technology and needs it may require upgrading or purchasing new servers and infrastructure. And, last but not least are the training requirements which may also require doing things in entirely new ways.
